SALARY RANGE

$2,702,439.94 per annum

DURATION

TWO (2) MONTHS

JOB SUMMARY

The incumbent undertakes a wide range of critical administrative tasks necessary to facilitate the operations of the office. The scope of these responsibilities includes maintaining the communication with partners/stakeholders to inform managers and supervisors.

KEY RESPONSIBILITIES

  • Manage communication and electronic records, preparing business correspondence, reports and related documents
  • Prepare materials and make arrangements for meetings
  • Review incoming correspondence and take appropriate action: routing correspondence, handling the matter directly, drafting responses, etc
  • Draft monthly departmental and other reports; advise VP of matters requiring attention
  • Assemble and disseminate information and transmit instructions to staff
  • Establish and maintain a system for the control and safekeeping of classified and confidential documents, files and reports
  • Assist the VP to meet deadlines; provide reminders of deadline/due dates and other follow-up activities, preparing or retrieving information to facilitate achieving these deadlines
  • Any other recommended tasks

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s Degree in Business Administration or equivalent
  • Certified Professional Secretary (CPS) Certification
  • Minimum three (3) years experience in a similar field

KNOWLEDGE, SKILLS & COMPETENCIES

  • Skills: Oral and written communication, human relations, time management skills, plan, prioritise, organise, team player, good judgement
  • Handle multiple projects and processes simultaneously while ensuring accuracy of work
  • Work on own initiative
