Massy Finance GFC Ltd. is looking for a dynamic individual to accept the role of Receptionist/Telephone Operator to operate out of the Administration Department at our Port of Spain Office.
Develop and Maintain satisfactory Customer Relationships with both internal and external customers.
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
Serves as Receptionist in greeting Clients and Visitors; giving safety briefing; performs reception duties in an efficient, professional and courteous manner.
Routes incoming telephone calls to the appropriate Department or person; writes down messages and circulates them to the appropriate employees; assists in placing calls for our internal customers.
Provides callers with information such as Company address, directions to Company location, Company fax numbers and other related public Company information.
Maintains current extension listings and records to provide accurate information to Customers [internal and external].
Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
Maintenance of all telephone lines, both internal and external; reports telephone problems, malfunctions, etc. to the relevant Service Provider
Provides general and non-technical information in response to questions from the public
Assists in monthly customer surveys.
Ordering of office stationary, groceries for the Company.
Manage the meeting room calendar and make all bookings.
Ordering of call cards for any new employees whose job requires them.
Opening and distributing all correspondences addressed to GFC and from GFC’s south office as well as logging of all incoming cheques.
Prepares letters and payments for statutory bodies as necessary.
Performs clerical functions such as sorting, filing, and stamping as assigned and for other Departments as needed.
Prepare TAX invoice for customers.
