PERSONAL ASSISTANT (PA)

Our client is seeking a profesional PA to manage their busy diary and to act as the initial point of contact for all business affairs. With a business that is reliant on excellent customer service, this role would suit someone who is comfortable liaising with business executives/suppliers on an international level whilst having the initiative to organise the working day/week of a busy company director.

Main Duties:

Devising, implementing and maintaining office/administrative systems and procedures, including data management and filing

  • screening and answering  telephone calls, handling enquiries and requests or when appropriate taking messages
  • reading, monitoring and responding to your manager's emails
  • handling correspondence with incoming email, faxes and post traffic, often corresponding on the behalf of the manager
  • preparing correspondence in formats of email, letter, documents, briefing papers, reports and presentation on your manager's behalf
  • taking dictation and minutes
  • organising and maintaining your manager's diary and making appointments or booking meetings
  • ensuring the manager is well prepared by preparing papers for meetings
  • attending events/meetings as your manager's representative if necessary
  • arranging and booking travel itineraries, visas, accommodation and car hire
  • planning, organising and managing events
  • deputising for the manager, making decisions and delegating work to others in the manager's absence and being involved
  • liaising with clients, suppliers and other staff members 
  • meeting and greeting visitors at all levels as a representative of the company
  • carrying out background research, special projects and presenting findings
  • Ability to use a variety of software packages
  • sourcing and ordering stationery and office/boutique equipment
  • updating websites


Non-Essential Duties:

 Sales assistant lunch cover or sick cover if necessary

  • Good writing and communication skills are important
  • typing and technical skills are important.
  • Flexibility, adaptability, good interpersonal and communication skills and excellent organisation skills
  • To have above average personal appearance and presentation
  • Polished communication skills - both verbal and written
  • Ethical and trustworthy as they must deal with their employer's private information confidential
