Legal Secretary to Senior Partner
Job Purpose:
Provide support to and enhances the effectiveness of the attorney by providing information, administrative assistance, management support; representing the attorney to clients and others.
Job Duties:
1. Welcoming guests and clients by greeting them in person or on the telephone.
2. Maintaining attorney’s calendar by planning and scheduling meetings, conferences and teleconferences. Follow up each morning the Electronic Court diary.
3. Maintaining clients’ confidence by keeping client/attorney information confidential.
4. Producing information by typing (word processing), transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data relating to the attorney’s matters; scanning all documents to respective matter folders on Amicus.
5. Conserving attorney’s time by reviewing, verifying, and routing correspondence, reports and legal documents (NB: no review required for reports and legal documents) collecting and analyzing information; initiating telecommunications; organizing clients’ conferences and attorney’s meetings; scheduling couriers/messengers for delivery of packages to clients.
6. Drafting letters and documents (as dictated by attorney, initiative expected in drafting simple reply letters);
7. Binding all major transactions closed; copying, formatting and binding all documents from a major transaction and creating a comprehensive binder of same; indexing and cross-referencing all documents included in binder.
8. Arranging transport to/from the airport for the Senior Partner.
