Job Description                                                    

INVENTORY CLERK

JOB PURPOSE:

 

The Inventory Clerk is responsible for the efficient execution of warehouse related activities based on the scope of work outlined for this position.  The Inventory Clerk must comply with established Company/Client policies and procedures.

SCOPE OF WORK:

The Inventory Clerk reports to the Warehouse Supervisor and ensures Responsible Care is the primary focus and complies with all Standard Operating Procedures for the respective job site.  The Inventory Clerk also participates in and/or leads Toolbox/Safety Meetings, identifies Hazards, makes recommendations for corrective actions and other safety initiatives related to the Warehouse. 

MAIN DUTIES AND RESPONSIBILITIES:

Inventory and Warehousing

  • To comply with all Client’s Standard Operating Procedures related to the Warehouse
  • To participate in the receipt and issue of material as necessary
  • To maintain proper records and filing for all transactions conducted by the warehouse

Stock Reorders

  • To create purchase requisitions to replenish stock and satisfy workorders for upcoming job.
  • To analyze usage and recommend changes to stocking levels
  • To ensure optimal usage of the CMMS for Inventory data collection and storage

Inventory Counts

  • To create count list for executing Inventory counts
  • To schedule counts in coordination with the Warehouse Supervisor and Foreman
  • To coordinate the and complete the Inventory counts, investigations and generate variance reports
  • To pass inventory adjustments in compliance with procedures, DOA and Financial guidelines

Reporting

  • To produce Warehouse and Inventory Month end report as defined by the Warehouse Supervisor
  • To produce to Financial Reconciliation report used to match the Inventory Sub Ledger with Finance’s General ledger.
  • To participate in investigations resulting from variances between the Sub ledger and the General Ledger
  • To develop reports necessary for effective Turnaround management as it relates to Warehouse and Inventory operations

Inventory Catalog Maintenance

  • To comply with procedures and work instructions related to managing the item catalog
  • To conduct reviews with the user groups to determine appropriate stocking items and stock levels
  • To add items to the Inventory Catalog using the agreed upon taxonomy
  • To attach relevant drawings, pictures etc to the Inventory Catalog
  • To link Equipment to their spares to create a Bill of Material
  • To assign primary vendors and code items appropriately based on criticality, commodity and discipline
  • To modify existing data based on approved recommendations
  • To remove obsolete items
  • To monitor usage and apply Inventory tools to determine and  recommend changes to stock levels
  • To perform adjustments to transfer items from surplus to stock or to combine duplicated items
  • To periodically review and clean anomalies in the database for example – multiple bins for one item, negative balances, incorrect coding, no bin etc
  • To ensure all transactions are processed in a timely manner in keeping with the agreed KPI’s for the department
  • To participate in warehouse activities related to the planning and execution of outages
  • To perform the role of a ‘Backfill’ in absence of the Warehouse foreman
  • Participate in addressing queries with Client’s procurement to pay system

QUALIFICATION AND EXPERIENCE:

  • Diploma or Advanced Diploma in Materials Management, CIPS, CPM/ or relevant BA or Bsc DegreePLEA
  • Passport
  • Valid Drivers License
  • Additional years of experience in the Purchasing Procedures, Materials Management and Inventory Management fields will be considered as an asset
  • Project Management certification 
  • Forklift Certification
  • A minimum of 3 years experience in a similar position 

 KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent understanding of safety standards and a commitment to health, safety and the environment
  • Excellent analytical skills
  • Commitment to continuous growth and improvement
  • Experience with CMMS e.g. Maximo, SAP etc
  • Computer skills and ability to use a variety of software (Microsoft Office Suite) – Very good
  • Good Interpersonal/Communication Skills.
