JOB SUMMARY

The Administrative Assistant provides administrative support by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

 

KEY DUTIES AND RESPONSIBILITIES

  • Responsible for performing administrative duties as assigned.
  • Responsible for maintaining the professional image of the department through the use of telephone etiquette, in person client interaction and professional writing skills.
  • Provide administrative support to the Industrial Relations Officers and Consultants comprising the department.
  • Maintain call log system and filing system for all documentation generated in the department.
  • Type correspondence, reports and other documents based on outlined instruction.
  • Perform general clerical duties to include but not limited to photocopying, faxing, mailing and filing.
  • Set up and co-ordinate meetings.
  • Answer telephones and transfer to appropriate staff member.
  • Support Industrial Relations Department in projects and meetings.
  • Other duties as assigned.

 QUALIFICATIONS AND EXPERIENCE         

  • A minimum of one (1) year experience in the Industrial Relations industry.
  • Associate Degree or equivalent in Industrial Relations or Administration.
  • Demonstrated proficiency in typing, minute taking and in the development and maintenance of filing systems.

 SKILLS

  • Oral comprehension – the ability to listen and understand information and ideas presented through spoken words and sentences.
  • Oral expression – the ability to communicate information and ideas in speaking so others will understand.
  • Written comprehension – the ability to read and understand information and ideas presented in writing.
  • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services.  This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
