Job objective :

 

To assist the Human Resource Manager with coordinating all human

resource management activities with specific responsibilities in the

following functional areas: health and safety, employee relations and

performance management.


(A) MAIN DUTIES AND RESPONSIBILITIES

Health and Safety

  • Assist with the development, implementation and communication of the company’s health and safety policies
  • Ensure that all aspects of the company’s health and safety policies are documented and continuously evaluated
  • Liaise with relevant external bodies to ensure the company receives the necessary updates and information pertaining to compliance with all health and safety legal requirements
  • Ensure annual risk assessments are completed and the necessary measures are taken to eliminate or minimise risks
  • Lead investigation of all work accidents/injuries and submit reports to the HR Manager
  • Ensure fire and evacuation drills and other safety procedures are conducted when necessary
  • Conduct inspections of PPE and quarterly visits to the branches to observe and record health and safety infractions and consult the HR Manager on taking corrective action
  • Co-ordinate safety committee meetings, take minutes of all meetings and follow-up action items
  • Employee Relations
  • Assist with and oversees the composition, typing and distribution of confirmation, promotion, acting appointments and transfer letters and submit the necessary documentation to payroll
  • Closely monitor the expiration dates of employees on contract; prompt and execute the renewal/non-renewal of same
  • Recognise and notify managers/supervisors of employee birthdays, anniversary dates, marriages, births and deaths
  • Purchase greeting cards, gifts and get well tokens
  • Performance Management
  • Notify managers/supervisors of appraisals and monitor the timely submission of same
  • Update the appraisal database and provide the HRM with monthly status reports
  • Review all appraisals for consistency between ratings and comments; development plan and identification of training needs before final sign-off by HRM
  • Other Human Resource Management activities:
  • Assist in the areas of:
  • Clerical and administrative functions such as:- typing and preparing memos, employment
  • contracts, commendation letters, job letters, and letters to Embassies/High Commissions
  • Documenting and updating HR Procedures and Policies under the direction of the HR Manager
  • Recruitment, selection and orientation of new employees
  • Updating Job descriptions and organization charts
  • Provide support to the HR Manager in other related activities.

 

(B) QUALIFICATIONS, EXPERIENCE AND SKILLS REQUIRED

EDUCATION/CERTIFICATION

  • Training and experience in Human Resources, Health and Safety
  • Diploma qualification in Human Resources and Health and Safety or other business related field from a reputable tertiary level institution
  • Excellent Computer literacy – Microsoft Word, Excel, PowerPoint, Access
  • Experience in working with HRIS software (HR Plus) will be an asset
  • Any combination of experience & qualification.

 

EXPERIENCE REQUIRED

  • At least two (2) years experience in human resources or related field.
  • Experience in a supervisory capacity would be an asset
