HUMAN RESOURCE ASSISTANT

MAIN FUNCTIONS:

HUMAN RESOURCES DEPARTMENT SKILLS

Demonstrate the knowledge and ability to:

  • Poll information from the electronic time clock.
  • Update Sick Leave and Vacation records
  • Prepare and distribute Vacation forms, assist employees in completing
  • Time Off forms and Vacation Forms, verifying staff entitlement.
  • Verification and Checking Time off forms to ensure proper entries are made, especially in cases where employees are on probation or exceed the leave allocation.
  • Advise the HRM, so necessary deductions can be made.“Clock in” employees who forget to swipe
  • Schedule appointments for medicals for new employees
  • Prepare payroll for permanent employees and all temporary employees
  • Prepare job lettersCreate and Maintain hard copy personnel files
  • Responsible for all HR filingAssist employees in applying for NIS and BIR numbers
  • Handle all queries with regard to “no pay” days, sick leave / vacation entitlement
  • Coordinate the Company’s performance appraisal systems
  • Work closely with the Human Resources Manager to ensure that the Company’s goals and objectives are achieved profitably and on time.
  • Assist the Human Resources Manager in implementing Staff Training
  • Prepares quarterly Reports on Punctuality and Attendance and distribute to Supervisors
  • Prepare on a monthly basis a report on monies owed to the company.
  • Assist with the co-ordination of staff functionsEnsure that there is always a supply of HR forms: sick leave, vacation, insurance claim, staff loan, application, pre-interview questionnaire
  • Assist with the ordering of uniforms for staff on an annual basis
  • Placing order with supplierFollowing up with supplier re: delivery
  • Distributing uniformsCalculating costs to employee and deducting same from salary
  • Provide feedback to staff re: complaints, queries , suggestions
  • Develop a pool of job candidates in line with the organisation’s human resource plan
  • Assist in the Develop and implement Staff Training programmes in accordance with training needs, with emphasis on line management training in interviews, hiring, terminations, promotions and performance management
  • Administer the Company’s health and pension plansComplete health insurance claim forms and submit to health insurer
  • Follow up with medical insurer on outstanding claims

  • Demonstrate the knowledge and ability to:Establish and maintain accurate files and records
  • Assist in the development, implementation and monitoring of Company policies and procedures
  • Use independent judgment to manage and impart confidential information
  • Identify potential problems before they arise
  • Demonstrate strong interpersonal and communication skills, both verbally and written.
