GENERAL MANAGER
The Cotton Tree Foundation (CTF) is a registered not-for-profit organisation whose mission is to improve the life chances for members of St. Ann’s, Cascade, Belmont, East Dry River and environs through the vehicle of education and in partnership with private and public sector enterprises. The CTFs conducts social programmes for the community including an early childhood care and education (ECCE) centre, an after-school homework centre and parental workshops. The Cotton Tree Foundation is currently seeking dynamic, civic-minded persons to join our organisation in the following positions:
A. Job Summary:
The General Manager is accountable for coordinating the efficient planning and administration of CTF programmes and services in order to ensure their delivery to CTF’s internal and external stakeholders, community beneficiaries and clients. The incumbent is responsible for developing, managing and evaluating the implementation of timely, cost-effective and relevant administrative and financial systems and resources. The General Manager also maintains and manages the Foundation’s on-site office and supervises CTF facilities, equipment and grounds. The General Manager is responsible for fund raising and events management.
B. Duties and Responsibilities:
- Attending and providing written reports at all regular Board meetings. Reports should identify significant trends and issues as they impact CTF as well as results achieved. Actively supporting the work of Board Committees. Providing to the Board a yearly organizational performance evaluation report on CTF operations. When requested, attending Board meetings, as needed.
- Proposing, for CTF Board approval, an annual schedule of programs, services and events intended to realize CTF’s effective operation within the Board-approved annual budget.
- Providing administrative support to CTF Board in their annual budget development process. Supervising the implementation of the budget process in order to ensure alignment of funding allocation and spending. Monitoring expenditure against budget and providing budget reports to regular Board meetings.
- Maintaining accurate payroll and ensure timely statutory payments.
- Maintaining an accurate and up to date filing system both electronic and hard copies.
- Maintaining effective working relationships with program managers and volunteers in order to ensure the effective coordination of CTF services, programs and events.
- Contributing constructively to the Annual Performance Evaluation Process.
- Supervising and managing the performance of administrative and support staff. Coaching, mentoring, and training these personnel in the performance of their day-to-day responsibilities. Ensuring that their job descriptions are up to date and consistent with any significant changes in the scope of their jobs. Completing performance reviews for these employees on a bi-annual schedule.
- Maintaining mutually beneficial working relationships with partners, sponsors, other NGO’s and members of the community. Attending and providing support, as needed, at CTF sponsored events. Communicating regularly with existing partners and sponsors to update them on relevant CTF news.
- Researching and recommending, for Board review and decision making, new avenues for funding as well as opportunities for potential property development and usage that will generate income for CTF. Implementing the Board-approved funding initiatives and income-generating opportunities.
- Consistently maintaining and enhancing CTF’s business profile and professional reputation. Monitoring and updating CTF website. Liaising with Media, as required in order to promote the Foundation.
- Supervising administrative processes to ensure that all relevant legislation and regulations are observed and Health and Safety requirements are strictly adhered to within CTF’s facilities and office, at the Preschool and on the grounds.
- Writing Proposals to obtain funding and support Management Committees and lead as required in Fund Raising Activities.
- Prepare financial records in keeping with financial procedures. (bank reconciliation, bill payment, deposit management etc.)
- Other Duties and Responsibilities as directed by the Board.
C. Qualifications & Experience:
- University degree in Management, Social Sciences, the Humanities or other related area
- A minimum of 7 years’ working experience; with at least 2 years’ experience in a supervisory role or in a non-profit environment
- Proficient in Computer Literacy and Microsoft Office Suite including Outlook, Excel and Word
- Experience in fund raising and proposal development
