The Export Documentation Clerk is responsible for the coordination of all shipping documents ensuring that they reach all relevant customers on time.

MAJOR FUNCTIONS

• Prepare mock bill of ladings for the shipping lines two weeks in advance of the sailing.

• Checking and signing of all customs documents.

• Stripping of Shipping Bills to ensure that the examination is written by the Customs Officer to allow the containers to enter the Port so it can be loaded on the appropriate vessel.

• Preparing, faxing and sending of documents to Customers so they can clear their product on time. • Requesting cheque payments for the Shipping Lines freight, LAC, THC charges and ensure that these charges are paid so the containers would not be held up in the receiving countries.

• Liaising with internal Customs Clerks to ensure that all Shipping Bills are returned on time so containers can enter the Port for loading and shipping.

• Tracking of all documents to ensure they arrive on time to our • Assisting with the preparation of C82 Customs documents. • Notifying Customers when containers have been shipped and the expected date of arrival at the Port.

• Ensures container management via AX. • Prepares all documents for filing. • Ensures workplace is always clean and in a hygienic state, free of clutter and debris.

▀ EHS RESPONSIBILITY AND ACCOUNTABILITY ALL PERSONNEL:

Personnel are responsible for their safety and the safety of others who may be affected by their activities. They are required to perform their work or tasks in a safe manner at all times. Employees have the right to refuse unsafe work where their Safety and Health is in imminent danger. Employees are empowered to bring such conditions to the attention of the Management of S. M. Jaleel and Company Limited or the Management’s representative (Supervisor) for immediate investigation and subsequent resolution. The EHS responsibilities of personnel include:

• Reporting immediately all Unsafe Acts or Unsafe Conditions to their immediate Supervisor, HSE Officer or HSE Committee Representative.

• Reporting immediately all Accidents, Near Misses and Injuries to the Supervisor after ensuring First-Aid treatment to the injured. • Cooperating with the Supervisor during any Accident Investigation to determine root causes and implementation of appropriate control measures.

• Using correctly all Personal Protective Equipment and Safety Devices provided, Machine Guards, Machinery, Equipment, Tools and Processes. • Assuming responsibility for their safety and that of others who may be affected by their actions at work.

 

▀ ADDITIONAL REQUIREMENTS

• Grade one Customs Clerk license

 

▀ MINIMUM EXPERIENCE AND TRAINING

  1.  Minimum five (5) CXC O’ levels including Mathematics and English
  2.  An accounting background will be considered an asset
  3.  Knowledge of AX Dynamics would be considered an asset
  4.  Proficient in the use of Microsoft Word and Excel.
