The RIGHT candidate will:
Effectively manage (contractual) supply and payment arrangements among internal and external suppliers (caterers, salary surveys, staff satisfaction surveys and our internal Office Services Dept.)
Receive telephone calls, responds or and appropriately routes for action
Prepare correspondence to internal and external parties as directed
Respond to all requests within one working day by email or telephone
Identify activities required and assign/schedule required activities within two days of request
Follow up on requests to ensure completion within target or promised time frame
Escalate issues that require emergency attention or that are at risk for late completion
Report to requestor on the status of requests – meet response requirements standards
Record minutes effectively and efficiently
Prepare, review, appropriate communication (to staff) and staff requests as required by the Group HR and Security Executive and the Assistant General Manager
Demonstrate customer care and continuously seeking to improve service delivery
Qualification and Experience
First Degree in Business Administration or its equivalent
Certificate in Secretarial Training from a recognized institution
Certificate in Supervisory Management from a recognized institution
Minimum of three (3) administrative/secretarial support at a senior level
Other Requirements:
Experience in generating reports on clients’ accounts for the Client and/or Management as required
Identify and exploit formal and informal professional improvement opportunities on a regular basis as agreed in the personal performance plan
Act as an inter and intra-department liaison to ensure effective development and dissemination of communication among Group HRD’s stakeholders
In-depth knowledge of financial sector instruments, laws, regulations, ethics and professional jargon
High level of proficiency in the use of computers, including databases, scheduling software, word processing, spreadsheets, and presentation programmes
Assist in providing coaching and development for all reportees, including the preparation of individual development plans and IBSC’s to ensure that team members are engaged and motivated for the duties assigned
