Job Summary
The ideal candidate will ensure the Ministry documents are maintained in accordance with industry best practices and procedures. This individual will be required to receive, review, search, clear and process documents in a controlled environment.
Key Duties and Responsibilities
-Maintenance of ALL the Ministry's documents.
-Accurate digitization of the Ministry's current physical documents.
-Provides quality control and verification of the electronic record in the records database.
-Stores,catalogues and retrieves documents.
-Maintains the integrity of the working documents and updates documentation when revised.
-Maintains systems for document storage and retrieval, and helps in training employees on efficient system usage.
-Assists in the classification of documents entering the Ministry for purposes of digitization.
-Ensures accuracy of documents, security, system access to users, and removes and destroys obsolete documents.
-Conducts training to enable members of staff to become familiar with the system.
-Recommends disaster recovery strategy for the Ministry's documents.
-Develops and implements security policies and processes to safeguard and dictate document usage.
-Performs other related tasks as may be required by the Ministry.
Minimum Qualifications and Experience
-Minimum of a Bachelor's Degree in Information Management or related field with four (4) to six (6) years experience in Information Management Systems.
-Experience in Document Management within the Public Service will be considered an asset.
Required Competencies, Skills and Abilities
-Advanced knowledge of Share Point Document Management Systems and database systems.
-Good knowledge of Microsoft Office applications.
-Previous working experience with SQL server databases.
-Must be detail-oriented and able to work with a high volume of documents in a fast-paced environment.
-Strong planning and organisational skills.
-Excellent oral and written communication and listening skills.
-Ability to work independently and in a team environment.
-Ability to conduct self-auditing and maintaining high quality standards.
- Ability to establish and maintain effective working relationships.
