Summary

Primary Responsibilities include the following.

Other duties may be assigned at the discretion of management.

  • Perform duties in line with specific instructions as to the acceptance of certified and non –certified cheques.
  • Ensure that cash / cheque received matches invoice and or other document used before issuing receipts. If not notify Accountant and customer of short payment and do the necessary follow up.
  • Process payments (cash, cheques & wire transfer) and provide receipts, refunds, credits or change due to each customer.
  • Ensure all accounting entries are accurate.
  • Balance / Reconcile deposit (Day End).Vouch all daily receipts of cheques and cash with Senior Accounting Assistants before depositing same.
  • Prepare daily deposits (Cash and Cheque – US$ and TT$) and ensure that all deposit bags are picked up by designated security firm.
  • Disburse petty cash and collect all supporting documents for petty cash disbursement (daily).
  • Prepare WCF Report spreadsheet daily and ensure report is completed weekly.
  • Create debit notes for reconciling the Demurrage Accounts – via receipts and cheque payment made to customers.
  • Keeps track of postdated cheques.
  • Respond to internal & external customer queries in person and by phone.
  • Advise Senior Accounting Assistants of all cheques not cleared immediately.
  • Reviewing all unapplied receipt from prior periods and ensuring proper application of same.
  • Petty cash float and all other funds must be physically secured at all times and all transactions must be done according to guidelines and policies.
  • Update customer account automatically
  • Assist with special projects as required.
  • Assist with other duties as assigned.
  • Email the foreign exchange Selling rate US$ to all managers every morning.
  • Email exports and accounts on the Export payments received daily at the end of every day.
  • Email the Managing Director, Financial Manager and Accounts Supervisor a breakdown of the daily transactions at the end of every day.
  • Assist with any other duty as assigned by Management.

MINIMUM QUALIFICATION

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Associate's degree (A. A.) or pursuing level II ACCA from two-year College or technical school; three (3) years related experience and/or training. An equivalent combination of education and experience may be considered.
  • Language Skills Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Mathematical Skills Ability to work with mathematical concepts such as probability and statistical inference and apply concepts such as fractions, ratios, and proportions to practical situations
  • Reasoning Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form and deal with problems involving several concrete variables in standardized situations.
