Primary objective of the job:
- To provide personal assistance to the CEO of the Digicel Foundation and administrative support to the Digicel Foundation team, while maintaining a professional image through in-person and phone interaction

Main Duties and Responsibilities:
- Monitoring and maintaining the CEO's calendar
- Sorting and filing documents
- Conducting follow-ups and responding to correspondence
- Answering incoming calls to the CEO's Office
- Liaising with other Departments/Directors
- Prepare and modify business correspondences (letters, memo, general documentation, e-mails etc) as directed by the CEO.
- Taking request for and prepare all letters for CEO signature
- Compiling data and preparing various reports as directed by the CEO Director.
- Maintaining CEO calendar and communicating time changes for appointments/meetings as well as set up meeting rooms.
- Organizing weekly Team meetings - producing Agenda, following up with team members on action items and updating action list prior to meeting, producing presentations/updated action list on share drive.
- Organizing and communicating travel arrangements and itineraries for CEO Director
- Generating Purchase Orders and following up-with Accounts department to ensure that payments are made for each job completed.
- Ordering Business Cards for Foundation Team members.
- Preparing PowerPoint and other presentations as directed by the CEO Director.
- Meeting and greeting clients and visitors on Foundation Team's behalf.
- Maintaining hard copy and electronic filing system for CEO.
- Taking and responding to phone messages on behalf of CEO and Foundation Team
- Responding to ad hoc queries and requests for information.
- Performing related and other duties as assigned by the CEO.
- Planning and executing all events hosted by the Foundation.
- Monitoring the Administration budget for the Foundation and to ensure all spending is within guidelines.
Academic qualifications and experience required for job:
- Diploma in Business Administration or its equivalent
- Certified Professional Secretary or Administrator
- Minimum 3 years' experience in a customer service environment
- Minimum 2 years' administrative experience or experience in similar capacity
- Certification in Microsoft Office Suite
Functional Skills:
- Excellent oral and written communication skills

- Working knowledge of Microsoft Office Products (i.e. Excel, Word, PowerPoint)

Key Performance Indicators:
- Perform administrative duties such as sorting, follow-up and forwarding of all documents/queries as assigned by the CEO within one day of receipt
90% of the time.
- Ensure the flow of mail/correspondence for the CEO's office - assisting with the reply to correspondence where applicable within 48 hrs.
- Answer and screen all calls for the CEO, taking messages where necessary, this is done daily.
- Assist with organising all Meetings / Appointments for the CEO ensuring that (a) participants are given relevant details at least 24 hrs (b) appropriate
meeting room is reserved (c) refreshment is provided if necessary.
- Assist by keeping track of daily and Future activities of the CEO and ensure that records of activities and commitments are kept at all times.
