Our client, the South Cancer Support Group located in San Fernando, is seeking to fill the position of Administrative and Wellness Manager    

 

Job Purpose:

Provide strong administrative and office management support to the South Cancer Organisation, coordinating activities to ensure that all the necessary support services, such as customer service, receptionist, telephone operator, typing, report  writing, filing and record-keeping, messenger service, mail distribution and other office support services are efficiently executed and/or available to enable the South Cancer Organisation to carry out all its functions effectively; Perform related duties and provide relief as required.

   

Key Responsibilities:

  • Provide strong administrative and office management support, coordinating activities to ensure that all necessary support services are efficiently executed
  • Oversee/execute the opening of the building and commissioning the services for the following: Education & Outreach Services, Counselling, Wellness Centre, Patient Coordination, Patient Advocacy
  • Ensure the provision of efficient office support services e.g. typing, filing, photocopying, record-keeping, report writing, messenger service, mail distribution etc.
  • Assist in the successful implementation of new systems and process
  • Assist in managing the use of budgets/finances and resources
  • Manage the Department’s workflow, completing reports and administration requirements, ensuring proper custody of documents, compliance with all regulatory requirements distributing work equitably in order to ensure that routine admin/office operations are efficiently carried out
  • Ensure the provision of courteous and efficient internal/external customer service, inclusive of telephone service, ensuring a ‘Good’ or better customer service rating in accordance with organisation standards
  • Monitor service quality regularly and assist in measuring customer satisfaction
  • Prepare/review Admin/Service Standard Operating Procedures (SOP’s)
  • Assist management in reviewing South Cancer’s existing policies and make appropriate recommendations where necessary
  • Monitor and evaluate practices to ensure compliance
  • Comply with health and safety legislation, conducting regular risk assessments
  • Ensure vehicles and equipment are maintained
  • Supervise clerical, technical and manipulative staff, ensuring  the effective performance of the Admin/Office Support Team
  • Develop the Admin Team and assist in developing admin staff across the organisation, actively pursuing the transfer of knowledge and best practice to enhance on the job staff performance
  • Conduct reviews and evaluate staff performance
  • Address/resolve disciplinary and performance matters
  • Co-operate/work closely with management/staff for the overall success of the organisation
  • Ensure connectivity/integrated functioning to increase successful outcomes
  • Conduct and record meetings, briefings and training

  

Qualifications and Experience:

  • First Degree in Management, Business or relevant field with a minimum of 5 years’ experience in Office Management
  • Computer Literate with advanced in Microsoft Suite
  • Sound knowledge of the principles and processes for providing excellent customer and personalised service
  • Strong leadership skills with the ability to inspire, mentor, manage people
  • Undoubted integrity, confidentiality and proven strong initiative
  • Strategic thinker with excellent analytical and problem-solving skills
  • Strong interpersonal and communication skills (verbal and written) with demonstrated judgement and tact in customer interaction
  • Flexible team player with sound negotiation and conflict resolution skills
