to CFO /Corporate Secretary
Main Responsibilities:
Provides support to the organization’s Chief Financial Officer/Corporate Secretary, and the department
Manages workflow, and office administration matters, identifies solutions and implements corrective actions
Creates and revises manual and electronic filing and recordkeeping systems
Manages calendars, coordinates meetings, prepares and circulates minutes of meetings, and other documentation
Prepares local and foreign requisitions and purchase orders
Prepares invoices and maintains accounts for specific clients
Maintains inventory supplies, and verifies receipt of supplies
Ensures compliance with statutory regulations, and organization policies, as required
Assists in the management of governance matters that involve liaising internally with other departments and externally with statutory authorities, shareholders, customers, auditors, tax advisors and bankers
Assists in the management of company share transactions
Attends both board and shareholder meetings, and takes minutes at these meetings
Experience, Qualifications and Competencies:
At least five years providing administrative support to senior management
Certification in Administration/Business Management; or a combination of training, education and experience that provides the required knowledge, skills, and abilities
Knowledge of legislation, policies, procedures, and office practices
Excellent oral and written communication skills
Ability to work independently and in a team environment
Ability to maintain confidentiality and display professionalism at all times
Ability to successfully manage competing priorities, in a fast-paced environment
Must be detail-oriented, organized and flexible
Demonstrate analytical, problem-solving and decision-making competence
