ADMINISTRATIVE ASSISTANT

JOB SUMMARY

The Client is looking for an Administrative Assistant who would be responsible for providing administrative support to the Health & Wellness Manager and the Medical Equipment & Supplies Business Unit Head.

QUALIFICATIONS AND EXPERIENCE

  • At least 2 yrs experience in an administrative support role.
  • Tertiary qualifications in related areas such as ABE or related field of study.
  • Exceptional Microsoft Office Suite skills.
  • Must be proactive and possess excellent communication skills. 
  • Knowledge of administrative and clerical procedures and systems.

 DUTIES & RESPONSIBILITIES

  • Maintain an efficient filing system for all correspondence generated by the Business Unit Head and H&W Manager.
  • Assist in the generation of various reports from ALL personnel in the Medical Equipment & Supplies Business Unit Department.
  • Liaise with Business Unit Head to ensure all selling tools required by the Medical Equipment & Supplies personnel are provided.
  • Provide administrative support to the Medical Equipment & Supplies Sales Team as required to win the business, inclusive of but not limited to Product Creation; Creation and Maintenance of Price Books; Government Tenders & Quotations; Creation and Maintenance of Price Books; Private & National Tenders and Quotations .
  • Timely and accurate preparation of Debit Notes where applicable for all reimbursable expenses – Marketing Expenses; Medical Sales Representatives Expenses and other incidental expenses.
  • Maintain Duty Paid and Key Account Price Books.  Information for price changes must be provided by the Business Unit Heads and approved by the Divisional Director before any price change can be made on the Tech One System as per Company Policy.
  • Provide any other administrative support required by the Medical Sales Representatives.
  • Assist Medical Sales Representatives with their Foreign Travel Arrangements – flights, hotel, cash advance or any other assistance required
  • Assist Medical Sales Representatives in the preparation for Seminars and Symposiums as requested
  • Provide any other administrative support required by the Medical Sales Representatives.
  • Create new product codes and description based on information received from the Business Unit Heads.
  • Provide the Medical Sales Team with updated Price List as price changes are made.
