Customer Service Administrative Assistant

Our client LSC is seeking a dynamic, Accounting/Customer Service Administrative Assistant, to provide general office administrative support, customer service and order processing requests of the day-to-day operations of a fast-paced manufacturing and distribution plant in Maypen 

The key roles of the Customer Service Administrative Assistant is to communicate with different customers, providing information and answers to their queries related to various products and services, to complete order processing requests in QuickBooks and to provide general office administrative support. The goal of the customer service representative is to project the image of the organization professionally through telephone interaction, email, fax, to consistently optimize the customer experience. S/he must interact with customers and respond to their inquiries, requests for services, and recommend the best plan for the customer in a professional and courteous manner.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Handling incoming requests from customers by phone, e-mail and/or fax and managing their inquiries or requests.
  • Resolving and inputting client requests into QuickBooks according to established guidelines. Ensuring proper, accurate records, and files are set up and maintained.
  • Performing customer verifications, processing orders, forms, and requests.
  • Providing information on complaints regarding specific products as well as services.
  • Resolving customer support related issues and providing customer with proper solution.
  • Recording details of comments, inquiries, complaints, and actions taken.
  • Provides customer satisfaction to customers and strives to continuously improve services.
  • Provide general administrative tasks for the office 

KNOWLEDGE, SKILLS & ABILITIES

  • Proficient with all administrative systems including QuickBooks and Microsoft office applications.
  • Excellent communication, interpersonal and customer service.
  • Ability to organize and communicate information clearly.
  • Problem solving and analytical skills. 

EDUCATION/EXPERIENCE:

  • Minimum: High School, at least 5 CXC’s
  • At least 2 years working experience in an administrative role or customer service role
  • Must be proficient in Microsoft Office
  • Experience with QuickBooks is required.
  • Exhibit professional demeanor with strong written and oral communication skills, including presentation skills.
  • Excellent interpersonal skills, and strong customer service skills
  • Ability to work independently and exercise sound judgment
  • Ability to exhibit a high level of confidentiality
  • Excellent organizational skills
  • Must be able to identify and resolve problems in a timely manner
  • Strong work ethic and the ability to independently manage simultaneous projects with multiple deadlines
  • Ability to meet deadlines while maintaining a high degree of accuracy
