JOB DESCRIPTION

 

JOB SUMMARY

  • The Administrative Assistant will be responsible for providing administrative support to all members of the respective Department.

 

INTERNAL RELATIONSHIPS:

  • Liaises with all levels of staff

 

EXTERNAL RELATIONSHIPS:

  • Nil

 

PRINCIPAL DUTIES:

  • Typing and sending letters/faxes.
  • Filing of all paperwork as well as maintaining and updating the filing system.
  • Typing of price lists and ensuring that order forms are available at all times for the sales representatives.
  • Answering departmental telephones, taking messages and ensuring that they are passed to the relevant personnel.
  • Preparing reports as requested.
  • Entering Purchase Orders into the system for all goods on order.
  • Updating the vacation and attendance records on a monthly basis
  • Preparing the weekly and fortnightly payroll.
  • Processing Departmental Co-op, Shelf Rental and other A&P invoices for payments.
  • Preparing credit requests other than El Socorro Credits
  • Generating the Divisional month end report.
  • Performing any other duties that management may from time to time assign to the position.

 

QUALIFICATIONS & EXPERIENCE

  • 5 CXC O’ Level passes (inclusive of Mathematics & English)
  • A minimum of one (1) year experience in a similar capacity

 

KNOWLEDGE & SKILLS

  • Excellent communication skills both written and oral.
  • Excellent interpersonal skills
  • Must be computer literate
  • Must be team player
