Accounting Assistant II ‐ Payroll

Location: Port of Spain

Salary: TT$7,500 neg

 

 

 

JOB SUMMARY

The incumbent performs a variety of payroll activities such the preparation and calculation for

the various inputs in payrolls across several subsidiaries. He/she must be familiar with payroll practices and procedures and requires an understanding of a payroll department’s operations and a high degree of accuracy.

 

MAIN DUTIES AND RESPONSIBILITIES

  • Maintains employee payroll master files
  • Ensures necessary approvals obtained for payroll inputs and payments
  • Calculates and verifies payroll inputs e.g. overtime, acting, commissions, subsistence etc.
  • Prepares weekly and monthly payroll and related payments e.g. mandatory and voluntary remittances
  • Journalizes payroll and related payments
  • Performs and verifies calculations for payroll related payments e.g. travel payments
  • Ensures adherence to terms and conditions of the Collective Agreements and Group policies
  • Prepares TD4s for the submission to the BIR and employees on an annual basis
  • Reconciles and remits statutory deductions
  • Prepares and verifies NIS claims
  • Maintains knowledge of rules and laws which govern the payroll administration practices
  • Responds to payroll inquiries and resolve issues on a timely basis
  • Prepares year end reconciliations and audit schedules e.g statutory, mandatory and voluntary deductions
  • Maintains efficient records and filing system
  • Maintains the integrity of the data in the HRIS system and Microsoft Dynamics GP
  • Maintains confidential information
  • Any other duties which are incidental or consequential to the above, as may be assigned by the Manager

 

ACCOUNTABILITY

Accurate, reliable and timely preparation and processing of payroll related items in accordance with financial reporting standards and Group’s policies and guidelines.

 

PERFORMANCE PARAMETERS

  • In accordance with defined objectives and measurements agreed upon in the Balanced Scorecard performance management system

 

GENERAL WORKING CONDITIONS

  • Work is normally performed in a typical office work environment
  • No exposure to physical risk
  • Work requires attention to detail and a need for accuracy
  • Work requires operating in a deadline driven environment

 

QUALIFICATIONS

(Education, Knowledge and Experience, Skills / Abilities and Certification)

 

EDUCATION / CERTIFICATION

  • 5 CXC/GCE O’ Level subjects, 2 of which must be English Language and Mathematics
  • Pursuing ACCA Level II or equivalent accounting qualification

 

KNOWLEDGE AND EXPERIENCE

  • At least three (3) years relevant experience
  • Computer literacy
    • Excel
    • Word
    • Microsoft Dynamics GP/Accounting software
    • Payroll software – preferably HRPlus

 

SKILLS/ ABILITIES

  • Good oral and written communications skills
  • Efficient record keeping and filing techniques
  • Ability to multitask
  • Attentive to detail and accuracy
  • Excellent team player
  • Ability to work with minimum supervision
  • Ability to work successfully in a fast paced, deadline driven environment
