The Receptionist serves as the initial, on-premises greeter at the Ernst & Young site, providing information services and direction to employees, customers, guests, and vendors. This individual project a courteous and patient image in person and over the telephone and responds well with competing work priorities and deliverables.

 

A pleasant, outgoing professional with a friendly attitude and the ability to multitask while providing a safe and welcoming atmosphere to staff and visitors alike. The role is the first point of contact for visitors and plays a major role in how the EY Jamaica is perceived.

 

The key duties/responsibilities:

 

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials
  • Provide basic and accurate information, in-person and via phone/email
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order office stationery and maintain inventory of stock
  • Manage office water supply and order refills accordingly
  • Schedule, prepare and maintain meeting rooms.
  • Prepare and distribute taxi vouchers

 

Assists Workspace Services Coordinator:

  • Arrange flights, ground transportation and hotel accommodations
  • Liaise with Property Supervisor regarding repairs and/or servicing of units to be undertaken
  • Schedule preventative maintenance of office equipment
  • Manage bearer and office attendants duties.
  • Manage shared folders for queries, receipt of invoices and request for proposals
  • Process supplier’s invoices for payment
  • Handling of incoming and outgoing mail, courier services, orders, and deliveries
  • Assisting in general data entry and tasks related to administration; as required.
  • Commits to self-development and participates in related learning activities.

 

To qualify, candidates must have:

  • Minimum - Diploma in Business Administration from a recognized institution
  • 2- 3 years experience as a receptionist, in Customer Service or related role
  • Training in customer service/ support skills
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Good time management skills.
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team
