JOB OVERVIEW:

The Payroll Officer is responsible for managing the payroll process for all employees, ensuring accurate and timely payroll administration. This includes maintaining payroll records, preparing payroll reports, and ensuring compliance with government regulations and company policies.

QUALIFICATIONS:                               

Essential:

  • High school diploma or equivalent
  • Proven experience as a Payroll Officer, Payroll Clerk, or similar role
  • Solid understanding of payroll principles and procedures
  • Proficiency in Microsoft Office, especially Excel
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • High level of integrity and confidentiality

Desirable:

  • Bachelor’s degree in Accounting, Finance, or a related field
  • 2-3 years Finance experience.
  • Experience with computers, calculators or word processors.
  • Fluency in a second language, preferably Spanish
  • Experience with payroll software (preferably AbrhilSoft)
  • Certification (e.g., Certified Payroll Professional)

SKILLS:

Essential:

  • Strong numerical skills and attention to detail.
  • Ability to work independently and handle multiple tasks.
  • Strong problem-solving skills.
  • Ability to maintain confidentiality of payroll data.
  • Ability to communicate effectively with employees and management.
  • Proficiency in data entry and record-keeping.

 Desirable:

  • Experience in the hospitality or service industry.
  • Knowledge of employee benefits and tax regulations.
  • Familiarity with audit processes.

 

ESSENTIAL JOB FUNCTIONS:

  • Process payroll for all employees, ensuring accuracy and adherence to deadlines.
  • Collect, calculate, and enter data in order to maintain and update payroll information.
  • Update payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job titles.
  • Prepare payroll reports, including summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages.
  • Prepare and distribute payroll-related documentation, such as paychecks and direct deposit statements.
  • Collaborate with HR to ensure proper onboarding and offboarding of employees, including the accurate setup and termination of payroll records.
  • Stay current on payroll systems to achieve alignment with company goals and federal, state, and local requirements.
  • Resolve payroll discrepancies by collecting and analyzing information.
  • Answer employee questions regarding payroll, deductions, and benefits.
  • Ensure compliance with federal, state, and local payroll regulations and guidelines.
  • Maintain payroll operations by following policies and procedures and reporting needed changes.
  • Protect payroll operations and maintain employee confidence by keeping information confidential.
  • Provide payroll information and support to management, internal and external auditors.

SECONDARY FUNCTIONS:

  • Assist with financial audits related to payroll.
  • Support special projects and process improvements as needed.
  • Participate in training and development activities to stay informed of changes in payroll and benefits policies.
